Special Refining Company B.V. has been working with the Manual module for almost four years now. At the end of 2017, the company also started performing digital inspections and audits using the Inspections module. QA manager Anna Pisniak has been involved in the implementation and use of the application from the very beginning. In an interview, she talks about her experiences with our application.

Why was there a need for digitization within your organization?

"We want to move with the times. It wasn't necessary to digitize, but it offers many advantages for us, so why not? Browsing through folders during visits or audits was simply tedious and sometimes took a very long time,“ says Anna. She indicates that adapting procedures prior to digitization went reasonably well. ”But these changes were not always implemented in the table of contents, which often resulted in an outdated version of the table of contents. This is no longer the case."

Thanks to the Inspections module, I no longer have to spend time writing reports for hygiene inspections.”

How much time has working with the software saved you?

By digitizing documents via the online manual, Special Refining Company B.V. has achieved time savings of approximately 80%. When performing digital inspections, the time savings are estimated at 60%. Anna: “In addition to being able to find documents very quickly during audits, changes and adjustments to document versions are automatically tracked, eliminating the risk of errors. We have also noticed that digitizing our manual has reduced the time needed to complete external audits by approximately one to one and a half hours.”

How do you experience the support in case of questions or problems?

Special Refining Company B.V. utilizes various support options, such as the online manual, email, and online chat. “The support team is highly effective. They respond quickly and provide concrete answers to your questions. For example, I reported a problem on October 10, 2017. The problem was resolved on the same day with a clear explanation of why it occurred in the first place,” Anna indicates.
