How to prevent errors in HACCP and quality records
Failure to record actions taken in response to deviations, or recording them incorrectly, is the most common error in HACCP and quality records. This was revealed by a poll we conducted on LinkedIn. But how can you prevent these errors?
How to prevent errors in registrations
Digitise HACCP and quality registrations with our registration software and registration app.
Better process assurance
More efficient working methods
Better overview and insight
More sustainable: no more paper in the factory!
Poll results
On LinkedIn, we asked the following question in a poll: ‘Food companies are required to register, but this sometimes goes wrong. What is the most common deviation in HACCP and quality registrations?’
Quality managers and employees from the food sector cast their votes. These are the results:
62%: no action taken in case of deviation
34%: incompletely filled in lists
4%: registration not (quickly enough) findable
What are the consequences of these errors in registrations?
If no action is taken in the event of a deviation, if registration lists are incomplete or cannot even be found, this can have serious consequences. In all cases, it means that food safety and/or product quality are not guaranteed. The consequences can include:
Blocking of products and additional checks and/or analyses
Potentially (seriously) ill consumers
Carrying out a recall
Products cannot be traced quickly enough
How can you prevent these errors in records?
Preventing these errors sometimes seems like an impossible task. After all, as a quality manager, you cannot sit next to the production staff all day checking forms. However, in this day and age, it is possible to minimise these errors. Digitising HACCP and quality records offers the solution.
Always record actions taken in case of deviations
By using software such as our HACCP and quality registration app, you can immediately take advantage of useful automations. For example, the employee who fills in the online registration list immediately receives a notification in the event of deviating registrations. They can see what action needs to be taken and can act quickly. Entering a deviating answer can also lead to additional questions. By digitising this process, employees can quickly take the right action. As the quality department, you can also see at a glance which deviations have been identified and what has been done about them.

Complete lists
Software also offers a solution for completing registration lists. The Registration app requires users to fill in certain fields. The quality department can use the online environment to view pending and expired registrations at any time. This allows you to quickly notify the relevant departments where necessary.
Findability of registrations
Although the findability of registrations is less often seen as a problem according to poll respondents, in practice it does sometimes happen that registrations “disappear” or cannot be found in time. Digitisation also helps here, as you can quickly search and filter the registrations that have been made.
